How to Schedule Microsoft Teams Meeting on Microsoft Outlook

You can directly schedule a Microsoft Teams meeting from the Outlook calendar.  In order to do this, go to your Outlook calendar, click on New Team Meetings icon on the top, then fill out the Title, Required Attendees, Optional Attendees, and the Date and Time of the event, and hit Send. The body of the message generates a link to the Microsoft Teams meeting automatically so your attendees can just click it to access the meeting.

How to Change Microsoft Teams Background

If you prefer to keep your home personal and private, you may want to consider changing the background when you are on a Microsoft Teams meeting.  To do that, before your meeting, toggle the switch between the video and microphone switches, which should appear next to an icon of a person with a striped background to the on position. Background options will appear in the right-hand sidebar. You can either blur your background or replace it with a different background. We created a video tutorial on how to do this. How to Create Microsoft Teams Breakout Room

To create breakout rooms in order to divide the group into smaller groups, you click on meeting controls, after you click it, select breakout rooms. Select the number of rooms you need, and whether you want Microsoft Teams to assign people to rooms (Automatically) or you want to choose the people for each room yourself (Manually), then select Create Rooms. If you chose Automatically, participants will be assigned to breakout rooms as soon as you open the rooms. If you chose to do this Manually, select Assign Participants, choose the people who will share a breakout room by selecting the checkboxes next to their names, select Assign and then select a room for those people. Repeat the steps until everyone has been assigned to a room.

How to View Attendees in Gallery Mode on Microsoft Teams

If you have more than 10 people attending the meeting, you may want to view them in the Large Gallery mode in order to see everyone. To do this, while on a Microsoft Teams meeting, select the three-dots icon, then select Large Gallery option. You can also choose the Together Mode option to view the attendees as if they are physically together with different background options, such as in a board room, in a classroom, etc.

How to Host Live Event on Microsoft Teams

Microsoft Teams live events are an extension of Teams meetings that enable you to schedule and produce events that stream to large online audiences. To be able to create a live event, a person needs to have the following things A Office 365 Enterprise E1, E3, or E5 license or an Office 365 A3 or A5 license, Permission to create live events in Microsoft Teams admin center, Permission to create live events in Microsoft Stream, Full team membership in the org. Your IT admin can provide more information.

First, you schedule the live event. You do that by selecting Calendar on Teams, Click on New Meeting and select Live Event.  Add the Meeting Title, Date and Time information, and other details. In the Invite People to your Event Group box, add the names of your event group the people who’ll be presenting and producing the event, Select Next. Under Live Event Permissions, choose who can attend your live event. The selection will either be People and Groups, Org-Wide, or Public. Make selections under How Will You Produce Your Live Event, then Select Schedule to add the event to your event group’s calendars.
